Segmentation

What is segmentation?

Segmentation is a function that allows you to categorise your active client list. Using these categorisations you can generate client review reports and business reports.

There are three types of categorisation:

  • Client segments eg. Gold, Silver, Bronze
  • Revenue segments eg. Gold, Silver, Bronze
  • Relationship groups eg. Smith Family

You may create as many client segments, revenue segments and relationship groups as you require but a client may only belong to one client segment, one revenue segment and/or one relationship group.

To access this function, select My clients, then Segmentation from the top navigation menu. To create client or revenue segments select Client segments from the left hand navigation menu, then create client segments or create revenue segments. To create relationship groups select Relationship groups from the left hand navigation menu and select Create in the Relationship Groups section.

What can I do with client segments, revenue segments and relationship groups?

With client segments, revenue segments and relationship groups you can:

  • download client address information using the mail merge extract
  • download client details per client segment, revenue segment or relationship group to a CSV file
  • create client review report(s) for clients within a client segment, revenue segment or relationship group
  • scheduling report(s) for future dates and at regular intervals for your client segments, revenue segments and relationship groups
  • create consolidated client review report(s) for relationship groups
  • report on your business by client segment, revenue segment or relationship group using business reports
  • print client details per client segment, revenue segment or relationship group

What is a mail merge extract?

The mail merge extract allows you to download address details (such as street address, suburb, state and postcode) for clients within a client segment, revenue segment or relationship group as a CSV file.

To create a mail merge extract:

  1. Select My clients, then Segmentation from the top navigation menu.
  2. Check the box next to the client segment(s), revenue segment(s) or relationship group(s) you require.
  3. Click Mail merge extract.
  4. This will take you to Business reporting where the mail merge report will be pre-selected. Click Submit.

Your report may take up to 15 minutes to generate. To retrieve your report, select Reporting then Retrieve reports from the top navigation menu.

Note: The account value of joint accounts is included in the balance for each account owner. Therefore, summing the balances of all active clients will overstate your funds under advice. For funds under advice details please generate a business report.

How can I download client segments, revenue segments and relationship groups?

You can download your client segments, revenue segments or relationship groups as a CSV file.

To download your client segments, revenue segments or relationship groups:

  1. Select My clients, then Segmentation from the top navigation menu.
  2. Client segments will be automatically selected from the left navigation menu.
  3. Check the box next to the required client segment(s) or revenue segment(s) OR
  4. Select relationship group(s) from the left navigation menu and check the box next to the required relationship group(s).
  5. Click Download.
  6. The File download box will appear. Click Open or Save as required. You will be able to format the file once downloaded.

How can I create a client review report using my client segments and relationship groups?

To create a client review report using client segments and relationship groups:

  1. Select My clients, then Segmentation from the top navigation menu.
  2. Select Segmentation from the left navigation menu.
  3. Check the box next to the required client segment(s) or relationship group(s).
  4. Click Client review report. The Client review report page will display from which you will be able to select report options and generate the report for the segments/groups selected.

What are revenue segments?

Revenue segments are a type of client categorisation that allow you to:

  • segment your client lists by revenue
  • align your reporting with how you segment your clients eg. Gold, Silver, Bronze; A, B, C clients
  • report on your business by revenue segments using business reports
  • download client address information using the mail merge extract
  • download client details per revenue segment to a CSV file
  • create client review report(s) for clients within a revenue segment
  • scheduling report(s) for future dates and at regular intervals for their revenue segments
  • create consolidated client review report(s) for revenue segments
